When you access our platform, we automatically collect:

1.3 Photos and Files

Site photos and documents uploaded to Buildetr are stored on our secure servers. These files are only accessible to authorised members of your company account.

2. How We Use Your Information

We use the information we collect to:

• Provide and operate the Buildetr platform
• Create and manage your account
• Send verification emails, password reset emails, and account notifications
• Generate PDF reports and exports from your data
• Monitor platform performance and fix technical issues

We do not sell your personal data to third parties. We do not use your construction data for any purpose other than providing the service to you.

3. Data Sharing

We share your information only in the following circumstances:

• Within your company account: Team members you invite can see data relevant to their role and assigned projects
• Service providers: We use Resend for email delivery. They process email addresses on our behalf
• Legal requirements: We may disclose your information if required by law or to protect the rights and safety of our users

4. Data Storage and Security

Your data is stored on servers located in the European Union (Contabo VPS, Germany). We implement appropriate technical and organisational measures to protect your data, including:

• HTTPS encryption for all data in transit
• Bcrypt password hashing
• JWT-based authentication with token expiry
• Role-based access control — users only see data they are authorised to access
• Regular database backups

No method of transmission over the internet is 100% secure. While we strive to protect your data, we cannot guarantee absolute security.

5. Data Retention

We retain your data for as long as your account is active. If you close your account:

• Your data will be retained for 30 days after account closure to allow recovery
• After 30 days, your data will be permanently deleted from our systems
• Backups may retain data for up to 90 days

• Access: Request a copy of the personal data we hold about you
